Sound Quiet Time – Freelancer Agreement
Fees
You will be engaged by Sound Quiet Time on a freelance basis and paid a daily rate as detailed in your booking confirmation.
- Travel days and shifts of up to six hours will be paid at half the agreed daily rate.
- Sound Quiet Time is committed to limiting standard working days to ten hours wherever possible. While this is not yet recognised across all productions and venues, we continue to advocate for this as an industry standard and appreciate your support as we work towards this goal.
Terms of Service
Your services will be required for the agreed dates and times confirmed by Sound Quiet Time.

Invoices may be submitted on or after your final day of work on a project and must include the Purchase Order (PO) number provided in your booking confirmation.
For longer projects, Sound Quiet Time is happy to discuss staged invoicing arrangements (for example: preparation, build, technical rehearsals, previews and opening).
Payment will be made within 30 days of receipt of a correctly submitted invoice.
Invoice Requirements
UK Limited Companies
Please include:
- Company registration number
- Registered office address
- VAT number (if applicable)
- VAT rate applied
- Breakdown of Net, VAT and Gross amounts
UK Sole Traders
If VAT registered, please include:
- VAT number
- VAT rate applied
- Breakdown of Net, VAT and Gross amounts
If not VAT registered, please include either:
- A statement confirming that you are self-employed and responsible for your own Tax and National Insurance contributions; or
- Your Unique Taxpayer Reference (UTR) number.
Travel and Accommodation
Sound Quiet Time's nominated place of work is London. Travel between your home address and London will not normally be reimbursed unless agreed at the time of booking.
Work Outside London
For work outside London, reasonable travel costs between your home and the venue or hotel will be reimbursed up to the value of a standard off-peak rail fare.
Travel expenses should be included on your invoice and must clearly state:
- Departure location
- Destination
- Date of travel
Where you are booked on consecutive tour load-outs and load-ins, you should book single journeys between venues or cities. For a standalone load-in or load-out, one off-peak return fare will be reimbursed.
Accommodation
Where it is not practical to travel to and from your home address for London-based work, accommodation requirements should be agreed at the time of booking.
PPE and Insurance
Freelancers are expected to provide their own Personal Protective Equipment (PPE), including but not limited to:
- Steel toe-capped safety footwear
- Hard hats
- High-visibility clothing
- Hearing protection
Sound Quiet Time maintains Employers' Liability and Public Liability Insurance. We also require freelancers to hold their own Public Liability Insurance with a minimum indemnity value of £10 million.
Any tools, equipment or personal property belonging to freelancers remain their responsibility and are not covered under Sound Quiet Time's insurance policies.
Health and Safety
You acknowledge your obligations under the Health and Safety at Work etc. Act 1974 and agree to familiarise yourself with, comply with and give due regard to all relevant health and safety legislation, policies and procedures relating to the production and working environment.
Illness and Absence
If you are unable to attend work due to illness or any other unforeseen circumstance, you must notify Sound Quiet Time as soon as reasonably possible.
Where practical, assistance in identifying a suitable replacement would be appreciated.
Policies
You must comply at all times with the policies and procedures of Sound Quiet Time, the Producer, the Production, the Venue and any Tour Venue, including but not limited to:
- Health and Safety
- Equal Opportunities
- Anti-Harassment and Bullying
- Social Media
- Smoking
- Drugs and Alcohol
Drugs and Alcohol Policy
Sound Quiet Time recognises that alcohol consumption can impair judgement and performance. Accordingly, the consumption of alcohol during working hours is strictly prohibited.
The use, possession or distribution of illegal drugs is expressly forbidden.
You are expected to take personal responsibility for arriving at work fit to perform your duties safely and professionally.
Social Media Policy
You must not announce, disclose or otherwise publicise your engagement, or the engagement of any other individual, in connection with a production prior to any official public announcement by the Producer.
You must not publish or share confidential information, commentary, photographs, videos or other content relating to the production without prior authorisation.
Personal Conduct
You are expected to maintain professional standards of behaviour at all times.
As a representative of Sound Quiet Time, you must:
- Arrive punctually and prepared for work
- Treat colleagues, clients and venue staff with respect
- Contribute positively to a safe and professional working environment
- Conduct yourself in a manner that reflects positively on Sound Quiet Time and its clients
Freelance Status
This agreement constitutes a freelance engagement only.
